ADMINISTRATIVE ASSISTANT (Inspector General's Office)

SUMMARY:
The Administrative Assistant acts as the confidential executive assistant to the Inspector General. The Administrative Assistant may also be given substantial duties relating to the departmental budget and financial management.

MINIMUM QUALIFICATIONS:
Graduation from an accredited college or university with a bachelor's degree in Business Administration, Public Administration, or a related degree, supplemented by three years of progressively responsible administrative experience, or an equivalent combination of training and experience.

NOTE: RESIDENCY REQUIREMENT:
An applicant must be an actual resident of the City of Chicago. Proof of residency will be required at the time of employment.

2010 STARTING RATE OF PAY:
$70,164 per year

DUTIES:

  • Schedules and maintains department head's calendar; briefs and prepares the department head for meetings; prepares confidential correspondence, reports and memoranda.
  • Screens visitors and telephone calls, responding to inquiries and complaints forwarded to the department head's office.
  • Conducts research and drafts special reports and documents in response to sensitive or atypical inquiries, as appropriate.
  • Confers with departmental managers on program operations and reports accomplishments and critical issues.
  • Works on special projects including financial management, budget analysis, presentations, and handles assignments as directed.
  • Performs various duties in support of budget preparation and administration; compares expenditures with status reports and informs management of status and discrepancies; prepares financial reports.
  • Coordinates and attends meetings, prepares agendas, notices, summaries, communications and correspondence.
  • Coordinates the administration of specific projects and programs, oversees work operations and ensures established goals and objectives are met.
  • Performs related duties as required.
